CMMS Administrator

Position Summary:

JLL is seeking a Work Order (CMMS) Administrator to join our team in Syracuse, NY!  This exciting opportunity will support the Facilities Operations at our client, a global pharmaceutical company.
 
ESSENTIAL FUNCTIONS

  • Receive and process incoming work orders from the work order system
  • Assess the scope of work and accurately determine what trade specific technician the work order should be assigned to. This may require field inspection of the jobsite to assess conditions and user impact
  • Assist with assignment and scheduling of service personnel, or route work to requisite vendors.
  • Order necessary materials from suppliers.
  • Keep customers / requestors informed of the status of work, schedules, completion and closeout, including soliciting feedback from the end user to support continuous improvement
  • Main point of contact for work requests from the Service Center and route work orders accordingly
  • Obtain and or confirm customers' information, cost center, specifications of items needing to be addressed
  • Assist with the request and processing of Purchase
  • Orders for materials needed and/or 3rd party services needed
  • Inform and keep customers appraised of schedule estimates, and any change
  • Receive and respond to customer concerns and issues in a timely manner
  • Verify customer and order information for correctness, checking it against previously obtained information as necessary
  • Direct specified departments or units to prepare and ship orders to designated locations
  • Support work order completion and closeout and customer acknowledgement of fulfillment
  • CMMS (Computerized Maintenance Management System) upkeep as directed relating to asset information, bills of materials, safety procedures, preventative maintenance programming and master maintenance planning
 
EDUCATION AND EXPERIENCE
  • High School graduate
  • Trade or undergraduate education, preferred
  • Computerized maintenance management experience, preferred
 
KNOWLEDGE, SKILLS, AND ABILITIES
  • Superior customer service skills and orientation
  • Ability to multitask and maintain professionalism at all times, sometimes under stressful situations
  • Superior ability to plan an manage work, and meet deadlines, under minimal supervision
  • Proficient in Microsoft Office, particularly Excel.
  • Must have good communication skills (written, oral and people skills) to sustain superior customer and team interaction
  • Possess collaborative working style
  • Understanding of Facilities Management trades, common repairs, parts and services.
